Our Promise to You

Meet Cambridge offers a venue-finding service which is funded by our member venues and therefore there is no cost to you to use our service; some of our venues pay Meet Cambridge a commission on any business we place with them.

We will check availability at our venues based on the criteria that you supply to us.  Venues will respond to your enquiry directly within 24-48 hours and responses will be available for you to view in My Event, your meeting planner portal, unless you specifically request a collated proposal.

If you request to provisionally hold a venue or request to confirm a booking, we will pass your request onto the specific venue(s) and they will contact you direct to finalise the booking.

If a site visit is required, we will request an appointment with the specific venue(s) on your behalf and create an itinerary for you if you need to see more than one venue.

By instructing Meet Cambridge to carry out a venue search for you, you are accepting our terms and conditions.

Meet Cambridge Terms & Conditions

So that we can continue to offer a free-of-charge service and keep delivering high-quality venue finds, we ask that you use our service fairly and abide by the following terms:

Please ensure that you quote your Meet Cambridge reference number when contacting any venues directly. Your reference number is shown on all communications from Meet Cambridge and in My Event, your meeting planner portal.

Please remember that by engaging our services, you are under no obligation to go ahead with any of the proposed venues. All we ask is that if you do like one of them, and decide to hold your event there, you either confirm the booking through us or advise us separately that you are using one of our venues.

Once you have chosen a venue(s), it is your responsibility to check all correspondence and contracts issued by the venue(s) and to make any changes or amendments direct with the venue(s).

The contract is with your chosen venue(s), not Meet Cambridge.

Cancelling a Booking

In the unlikely event that you need to cancel a booking, please contact the venue(s) and refer to the venue’s terms and conditions as you may be liable for cancellation charges.

Payment

All monies due to the venue(s) and/or other service providers will be your responsibility and must be paid directly to the venue(s) and/or the service provider direct under the venue’s/service provider’s terms and conditions.

Your Event

Your chosen venue(s) will provide you with contact details for a member of staff who will be on hand to assist during your event.  We hope that your event is a great success but if any issues arise during the event, please discuss them with the venue direct.  Meet Cambridge will not accept responsibility for any issues leading up to or during an event.

These Terms and Conditions are governed by and construed in accordance with the laws of England. Disputes arising in relation to the same shall, unless otherwise expressly agreed, be subject to the exclusive jurisdiction of the courts of England.
